Weaknesses

No waitlist automation, and structurally unable to add it quickly

Their waitlist notifies staff; it does not offer, hold, or book. Fixing that requires bidirectional PMS write-back, which their own documentation says they do not have.

This is the difference between showing a clinic a problem and removing it. It is also the single question that decides a competitive evaluation, so ask it early: “when a patient cancels at 11am, who makes the call?”

Per-location reporting is missing

Two multi-site buyers could not get fill rate broken out by location. For an operations director reporting upward, a practice-level number is not usable.

Per-seat pricing is a liability above eight locations

Bills that move with front-desk turnover are a recurring objection in every group conversation we have had. We should surface this before pricing comes up, not after.

Growing headcount three times in a year has a cost

From 22 to 60 people in twelve months. Two buyers mentioned inconsistent responses from different Cobaltine contacts during evaluation. This is soft evidence and should be used carefully, if at all.
