New · Brightloom Flow

Cancelled appointments now refill themselves.

Flow watches your schedule, offers open slots to the right waitlisted patient, and books whoever says yes first — usually before your front desk notices the cancellation.

What changes

Three things stop being your problem

Fill 92% of cancelled slots

Across 63 clinics, slots that used to sit empty now refill in a median of three minutes and forty-eight seconds. Nobody makes a call.

Zero front-desk phone tag

No more calling down a list during check-in. Flow texts, waits, and moves on to the next patient by itself.

Ninety minutes back, daily

That is the average time a desk spent on outbound rebooking before Flow. It is now spent on the people standing in front of them.

How it works

One integration, then nothing to run

1

It notices

A cancellation lands in your PMS. Flow sees it within a minute — no imports, no refresh.

2

It chooses

Your waitlist is ranked by clinical urgency, provider match, and travel time. Your rules, not ours.

3

It books

The best-matched patient gets a text, the slot is held twenty minutes, and the booking is written back.

Questions

The things clinics actually ask

No. Flow only messages patients on your waitlist, inside the contact hours you set, and only about slots at their own clinic. You can pause it for a day in one click, and every message sent is visible in the recovery board.
They cannot. Flow holds the slot for the duration of an offer, so a second acceptance is impossible — the next patient is told the slot is gone and stays at the top of the list for the next one.
Flow reads and writes to the eleven systems Brightloom already integrates with, including the four most common ambulatory platforms. If yours is not on the list we will tell you plainly rather than promise a connector.
Median go-live is four days, and there is no configuration checklist. You point Brightloom at your PMS, confirm the providers and appointment types it inferred, and set your contact hours.
From $299 per location per month, billed annually or monthly with no setup fee. Multi-location groups above eight sites get group pricing.
Yes, and most groups do. A single-site pilot runs for six weeks, and the fee credits in full against a group agreement if you expand.

Six weeks, one clinic, no setup fee.

If Flow does not recover at least six slots a week by day thirty, we end the pilot and you pay nothing.
